Security & Vetting Administrator

A key role in protecting people, assets and national interests.

  • Standard 37 hours per week (working 4.5 days between the hours of 7am - 7pm, hours agreed at business discretion)

Role Overview

The Security & Vetting Administrator plays a central role in delivering both standard and business‑critical security and vetting activities. They ensure full compliance with legislative Personnel Security obligations and contractual standards set by HMG and other Contracting Authorities, including the Ministry of Defence (MOD), UK Security Vetting (UKSV), and the Centre for the Protection of National Infrastructure (CPNI). Their work directly supports the integrity and resilience of operations within the Defence and Space sectors.

Key Responsibilities

Personnel Security, Vetting & Visitor Management

They provide professional, efficient administration of all site‑level vetting and personnel security processes, ensuring compliance with government legislation and contractual requirements such as List‑X, Known Consignor and Export Control. Responsibilities include:

  • Processing vetting applications, supporting documents and secure records
  • Producing staff passes, badges and vehicle permits
  • Managing document control and maintaining accurate Automated Access Control System (AACS) records
  • Administering BPSS checks, visit requests and all Starters, Movers and Leavers security actions
  • Maintaining accurate onboarding records, including Official Secrets Acts acknowledgements, NDAs and site access agreements

They act as a key point of contact for vetting‑related enquiries from HR, Facilities Management, Information Management and project teams, offering guidance and support. They also assist project leads with business cases for out‑of‑process vetting applications.

Digitalisation & Process Improvement

They support the ongoing digitalisation of vetting processes, ensuring GDPR‑compliant record management and contributing to the development and optimisation of the organisation's vetting tools. They may also collaborate on projects to identify and implement improved digital solutions aligned with HMG security standards.

Security Education & Training

They deliver the national Site Security Induction to all new arrivals-both permanent and subcontracted-ensuring key security and vetting messages are clearly communicated. They also provide wider security briefings and updates across the business when required. Any non‑attendance or incomplete induction is escalated to the Security Operations Manager and recorded in weekly reporting.

Reporting & Governance

They produce weekly, monthly and annual KPI reports for the Security team and governance bodies. They also generate data reports for HR, applying strict information security controls to safeguard personal data.

Team Support & Representation

They act as an ambassador for the Security team and may represent senior security leaders at site or project meetings when required. They support the Security & Vetting Coordinator in achieving team objectives and deputise in their absence.

Skill Set

Essential

  • Proven ability to handle sensitive information with discretion and confidentiality
  • Ability to obtain UKSV Security Check (SC) clearance
  • Strong IT, communication and interpersonal skills
  • Ability to work independently and collaboratively in a multinational environment
  • Educated to GCSE level or equivalent
  • Fluent English (spoken, written and comprehension)
  • Willingness to attend government security training, including occasional residential courses

Desirable

  • 3-5 years' experience in a security and/or vetting role within HMG or a corporate security environment
  • Understanding of HMG Security Policy Framework, GovS‑007, CPNI guidance and related security policies
