Due to a significant amount of growth Belcan is now looking to recruit a Project Assistant, on a permanent basis in Derby.

You will support the project controllers over the whole lifecycle of projects in a fast-paced working environment. You will report to the team leader and work closely with project controllers to ensure that projects are maintained, and any issues are highlighted to them. This is achieved through interaction with those deployed on the projects and analysis of data and reports, with a view to anticipating issues and identifying the need for action (for example change control). You will be responsible for accurately setting up and maintaining projects under the guidance of the project controllers in the company ERP system.

You will be expected to assist in the reviewing of reports and KPIs (for example Working at Risk, Work in Progress, On Time Delivery etc.).

Principle Responsibilities:

Initial setup, maintenance, and audit of project folders.

Provide guidance to deployed resources with respect to time entry.

Monitoring and chasing missing timesheets on a weekly basis.

Processing of excel timesheets, checking and then importing into the ERP system.

Monitoring of PM Team Mailboxes.

Monitoring of travel expense with accounts teams to ensure all chargeable expenses have been recovered into ERP system.

Monitoring of travel time bookings to ensure chargeable hours are recovered against projects.

Reconciling of hours, expenses, and invoices to projects under the guidance of project control.

Produce reporting in line with the project and company reporting calendar, providing details on progress, actuals vs. forecast and provide explanation of variances.

Follow processes and procedures as outlined in the Quality Management System (QMS) to demonstrate audit compliance.

Prepare invoicing, including collecting and reviewing substantiating data and co-ordinating with finance department, under the guidance of project control.

Undertaking data cleansing within the ERP System.

Continuous review of the processes and tools to identify and implement improvements.

Help support team leader/management with aspects such as capability development, continuous improvement and QMS related quality issues etc.

Provide guidance to and interact with other team members and internal customers as required with respect to work that is being delivered.

Required Qualifications and Experience -

Essential:

Excellent knowledge of Microsoft Excel including basic formulas, pivot tables and charts.

Proficient in Microsoft Word and PowerPoint.

Experience of working in project administration or similar environment.

Strong numeracy skills.

Excellent attention to detail.

Solid organisational skills including multi-tasking, prioritising, and time management.

Desirable:

Degree or relevant experience.

Proficient in the use of CRM and/or ERP systems.

Someone who is analytical and an effective problem solver.
