Project Administrator - Derby - Permanent.
Belcan are looking for a Project Administrator to join our growing Project Team. The Project Administrator role is integral to the productivity of our Engineering Team based in Derby dealing with the whole life cycle of projects.
Reporting to the Project Control Team Leader and working closely with Project Controllers on a variety of Client's projects within the Aerospace, Automotive and Marine industries.
The Project Administrator is responsible for providing essential administrative and coordination support to the Project Team, ensuring organised documentation, accurate records, timely invoicing, and efficient workflow management, as well as giving clerical support to the Project team and reports to the Project Control Team Leader
Key Responsibilities:
- Maintain project folders in line with organisational standards.
- Ensure documentation uses correct templates and is easily accessible.
- Conduct periodic document audits to verify completeness, compliance, and review readiness.
- Create and maintain project, contract, and sales order records within the ERP system
- Enter key project data, establish financial and billing structures, and update records to reflect changes in project scope.
- Maintain trackers to ensure accurate progress reporting and clear, detailed comments.
- Generate and issue customer invoices in line with contractual terms and approved deliverables.
- Validate invoice accuracy, attach supporting documents, and resolve discrepancies with Finance or PMs.
- Proactively monitor shared mailboxes, reviewing, prioritising, and actioning all correspondence in a timely manner.
- Redirect queries, respond to routine requests, and track follow‑up actions to support team workflow.
Required Qualifications and Experience:
- Experience of working in project administration, finance administration or similar environment
- Excellent verbal and written communication skills.
- High level of accuracy and attention to detail.
- Strong numeracy skills and confidence working with budget statements.
- Proficient computer skills, particularly in Microsoft Word and Excel.
- Ability to work effectively in a fast‑paced environment.
