An opportunity has arisen to join our aerospace client as a Bid Coordinator for a 12 month contract in Newport (hybrid working)!

As a Bid Coordinator, you will play a pivotal role in our client's bid management process, directly reporting to the Head of Bid Management. Your responsibilities will include coordinating administrative tasks, managing bid budgets, maintaining bid libraries, and facilitating communication among internal stakeholders to ensure the timely submission of proposals.

Responsibilities as a Bid Coordinator:

  • Carry out administrative activities to support bid activities, including organizing bid meetings, managing resulting artifacts, and handling new project requests.
  • Monitor, review, and report on bid budget and actual spend.
  • Control and manage the bid library, including best practices and example documents.
  • Assist in early-stage bid work, including PQQ responses.
  • Manage bid response schedules and bid management documentation.
  • Coordinate internal stakeholders, customers, and suppliers to gather necessary information for tender submissions.
  • Coordinate proposal input from various stakeholders and ensure compliance with corporate branding guidelines and quality standards.
  • Consolidate sections and documents developed by team members into tender formats.
  • Establish bidding environments and maintain document sets.
  • Track and report on bid budget approval, assignment, and spending.
  • Produce gate certificates and ensure completion of relevant checklists.
  • Report on sales bid budgets for Cyber activity and provide feedback on budget variances.

Skills & Experience:

  • 2-3 years of experience, ideally 3-5 years, in a similar role.
  • Proficiency in MS Project (basic level), PowerPoint, and Excel.
  • Experience in budget monitoring and control.
